Microsoft 365 business licences are assigned per user, not per device. Plans that include desktop apps typically let each user install them on up to 5 PCs or Macs, 5 tablets and 5 phones. Web-and-mobile-only plans do not include desktop installs. Licence terms change, so always check Microsoft’s current conditions.
- A licence belongs to one person; sharing one account among several employees breaks the terms and weakens security.
- Home plans are not intended for business use.
- Shared or terminal-server computers can use shared computer activation where the plan supports it.
- More important than device count is device security: MFA, device management, app protection policies and conditional access.
